Find what the customer told Mia and what your team needs to do next.

1. Open the customer’s record#
Select Contacts. Search by the caller’s name, phone number or email, then open the matching record. Check their phone number or email to confirm you have the right person.
2. Open Notes#
Select the pen-shaped Notes icon on the right of the contact record. In some layouts, it appears at the top of the right-hand panel. The screenshot highlights the icon.
Platform example. Select either screenshot for a closer look.
3. Find the call#
In Search notes, enter a word from the request, such as “leak” or “callback.” To see recent notes first, open the control beside the search box and select Sort by created date (new first).
Match the call date and time. Open the AI call summary or recap; select Show more if the note is shortened.
4. Check the request and next step#
Read what the customer needs, the details Mia collected, and anything your team still needs to confirm.
Example call summary#
Fictional example to show what to look for—not an actual customer record.
- Customer’s issue: Water leaks under the kitchen sink when the faucet runs.
- Details collected: The customer noticed it this morning and has stopped using the sink.
- Requested follow-up: A callback to discuss the earliest service visit.
- Still awaiting confirmation: Technician availability and an appointment time.
Before calling back, review the request and check availability. You can start with “I see you called about a leak under your kitchen sink,” instead of asking the customer to explain everything again.
A call summary records the conversation. Check the appointment or assigned task to confirm what happens next.
Can’t find the summary?#
- Check the customer: Compare the caller’s phone number with the contact record.
- Clear the search and filters: Remove the Search notes text and any filters hiding entries.
- Check the date: Find the call’s date and time, rather than relying only on when a note was created.
Still missing? When requesting help from your usual Hanna Group contact, include your business name, the caller’s name or number, the call date and time, and what is missing. You do not need access to Mia’s settings.
